We collect the following categories of information to operate the Team Fit platform:
Church admin accounts: name, email address, and a hashed (non-reversible) password. We never store your password in plain text.
Volunteer submissions:name, email address, quiz answers, and position interests submitted through your church's volunteer assessment.
Department contacts: names and email addresses of ministry leaders designated by the church to receive volunteer submission notifications.
Lead capture emails:email addresses collected when someone expresses interest in a church's volunteer program before completing the full assessment.
Usage metadata: browser user-agent strings and basic request metadata used for debugging and service reliability. We do not run behavioral analytics or advertising tracking.
We use the information we collect solely to operate the Team Fit platform. Specifically:
To match volunteers to serving roles based on their quiz responses and the position profiles your church has configured.
To notify department contacts when a volunteer submits interest in a position they oversee.
To send transactional account emails, including password reset links and team member invitations.
We do not use your data for marketing, advertising, profiling, or any purpose beyond operating the service.
Team Fit uses the following third-party infrastructure providers to operate the platform:
Vercel — hosting and edge infrastructure. Your data is processed on servers operated by Vercel, Inc.
Neon — serverless PostgreSQL database. Volunteer and account data is stored in a Neon-hosted database.
Resend — transactional email delivery. Emails sent by the platform (invitations, password resets, volunteer confirmations) are routed through Resend.
Planning Center — optional integration. If your church enables the Planning Center integration, Team Fit will connect to your Planning Center account at your direction to sync people and team data. This integration is entirely optional and controlled by your church.
We do not sell, rent, or share your data with any other third parties.
The church owns all volunteer data submitted through its Team Fit assessment. Team Fit acts as a data processor on the church's behalf. We do not claim any ownership or rights to the content your church collects.
As the data controller, the church is responsible for ensuring its volunteers understand how their information will be used and for maintaining appropriate consent where required by applicable law.
Account and volunteer data is retained while your church's account is active. If you terminate your account, you may request a full export of your data before deletion. Upon account termination, we will delete or anonymize your church's data within 30 days unless legally required to retain it.
All data transmitted between your browser and Team Fit is encrypted in transit using TLS. Passwords are stored as cryptographic hashes and are never recoverable, even by us.
While we take reasonable precautions to protect your data, no system is perfectly secure. We encourage you to use a strong, unique password and to keep your credentials confidential.
We do not sell, rent, broker, or monetize any personal data collected through the Team Fit platform. Ever.
